Delos Institute is the training and certification program of Delos Therapy, LLC, an Illinois limited liability company, operating as “Delos Institute” (“Delos,” “we,” “us”). This notice explains what personal information we collect through delosinstitute.com, our enrollment page and our training sessions, why we collect it, who we share it with, and the choices you have. It covers the Delos Institute only. The Delos Therapy clinics have their own privacy policy.
1. What we collect
When you enroll online
- Your name, email address and phone number.
- Your profession (or the profession you name under “Other”), and, if you are a student, your program and school.
- Your license state and license number.
- The weekend you choose, the time you accepted the Enrollment Agreement, the exact wording you agreed to and the version of the agreement.
- How you reached the page (for example, the email or web page you clicked from).
Payments. Payments are handled by Stripe on Stripe’s own secure page. Delos never sees or stores your full card number. Stripe tells us the card brand, the last four digits, whether a payment went through, and a reference to the card you saved. We use that reference to charge your remaining balance as your Enrollment Agreement allows.
At check-in. Our staff look at your government-issued photo ID, and, if you are licensed, check your license on your state licensing board’s public website. You complete the licensure and practice-state certifications and sign the program agreements.
If you ask about the program. Your name, email, phone and profession, from forms on delosinstitute.com and from Facebook or Instagram lead forms when you answer one of our ads there.
After you are certified. Your name, credential Level, professional designation and practice location for our public “find a certified practitioner” directory (as described in the Practitioner Trade Secret and Restriction Agreement). We also keep renewal records and the insurance certificates you send us.
On your own device. The enrollment page saves your progress in your own browser so you don’t lose your place. That copy stays on your device. delosinstitute.com uses Google Analytics and Google’s advertising tools, which set cookies to count visits and measure our ads. You can opt out through the tools Google provides. The enrollment page itself uses none.
We do not collect Social Security numbers, health information about you, or biometric information.
2. Why we use it
- To hold your seat, run the training and contact you about your weekend.
- To check that you are eligible (age, profession and license) and to issue your certificate or completion record.
- To take your deposit and tuition, charge your remaining balance as your Enrollment Agreement allows, and give refunds.
- To list you in the certified practitioner directory, once certified.
- To send you program news and offers. You can unsubscribe from these at any time using the link in any email. Emails about your enrollment, payments and certification are not marketing and continue while you are enrolled or certified.
- To keep accurate business and tax records, and to meet our legal obligations.
3. Who we share it with
We do not sell your personal information. We share it only with service providers that help us run the program, and only as needed:
- Stripe (payments).
- Google (our email, calendar invitations and the secure records where enrollments are kept).
- Constant Contact (program emails you can unsubscribe from).
- Bluehost (hosts delosinstitute.com).
- Meta (Facebook and Instagram), if you contacted us through a lead form there.
- Google Analytics and Google Ads (site visit counts and ad measurement on delosinstitute.com).
We may also share information with our professional advisors, if the law requires it, to protect our rights, or with a company affiliated with Delos Therapy, LLC that takes over the Institute program, which must protect it as this notice describes.
4. How long we keep it
- Inquiries from people who do not enroll: two years after our last contact.
- Enrollment, payment and certification records: seven years after your certification ends or your enrollment is canceled.
- Marketing consents and opt-outs: for as long as we email you, plus three years.
- Website analytics: 2 months for event data and 14 months for user data.
5. How we protect it
Access is limited to the people who need it. Card details stay with Stripe. If a security breach affects your personal information, we will notify you as Illinois law requires (including the Illinois Personal Information Protection Act).
6. Your choices
- Unsubscribe from program emails at any time with the link in the email.
- See, correct or delete your information by emailing us. We may keep what the law or our records require (for example, payment records).
- We will not treat you differently for making a request.
7. Adults only
The program is open only to people 18 or older. We do not knowingly collect information from anyone under 18.
8. Changes to this notice
If we change this notice, we will post the new version here with a new effective date. If the change is significant, we will tell enrolled students and certified practitioners by email.
